POSITION: Part-time Human Resources Specialist

REPORTS TO: Director of Finance, Operations & Human Resources


QUALIFICATIONS:

  • Bachelor’s degree with a minimum of two years of related experience. Degree in Human Resources, Business Administration, or Education, preferred.
  • Strong written and verbal communication skills and excellent organizational and time-management skills.
  • Ability to work with independence and adapt to the evolving needs of the academic setting.
  • Accuracy in managing records, benefits administration, and compliance with regulations.
  • A strong sense of ethics and confidentiality in handling employee information and sensitive issues.
  • Satisfactory completion of a pre-employment background check

SUMMARY:

Whitby seeks a self-motivated and experienced Human Resources Specialist to support the day-to-day personnel-related activities of the Business Office. The Specialist will work closely with the Director of Finance, Operations and Human Resources on behalf of faculty, staff and the school’s external partners across a wide-range of administrative and operational tasks including payroll, benefits administration, and employee onboarding. This position is part-time and 20 to 30 hours per week.


KEY RESPONSIBILITIES:

Payroll: Assist in accurate and timely processing of employee wages, including regular salaries, overtime, and deductions. Maintain detailed records of payroll transactions and employee pay history.

Health Benefits: Support annual employee enrollment in health insurance plans and other health-related benefits. Help educate employees about their health benefits options and changes. Liaise with health insurance providers and benefit administrators to ensure smooth operation and address any issues.

Retirement Benefits: Assist in providing information and support to employees regarding retirement plan registration and setup. Track eligibility and contributions annually. Work with retirement plan administrators to manage contributions and complete required audits.

Staffing: Work closely with hiring managers to understand staffing needs and support recruiting efforts. Generate offer letters, employment agreements, termination and separation letters.

Onboarding: Ensure that all necessary documentation is completed and filed and maintain up-to-date employee records and databases. Coordinate initial setup for new employees with IT and facilities. Ensure the confidentiality and security of employee records in compliance with data protection regulations.

Policies: Assist in reviewing and updating the school’s Employee Handbook to reflect changes in laws, company policies, and procedures. Assist with reporting to ensure compliance with policies.

Job Description  

Position: Content & Social Media Coordinator

Reports to: Director of Marketing and Communications

Full-Time Position 


QUALIFICATIONS: 

  • College degree
  • Minimum two years of work experience in the preferred areas of marketing, communications, public relations, journalism
  • Experience in the education segment is a plus but not required

REQUIRED SKILLS

  • Proven social media management skills including data analysis (samples required)
  • Excellent technology skills - proficient in Microsoft Office; must be tech-savvy and have the ability and desire to become proficient in Veracross and HubSpot (student management system and marketing automation platform)
  • Experience with graphic design tools, including Canva (Whitby’s platform of choice) and Adobe Creative Cloud
  • Experience with digital photography and digital video production (samples required)
  • Excellent communication and organizational skills with attention to detail
  • Strong verbal and writing skills are a must (writing samples required)
  • Ability to manage multiple projects in a fast-paced environment while meeting deadlines; work independently with limited supervision; operate across school divisions and interact with a variety of stakeholders (staff, faculty, students, parents)

RESPONSIBILITIES

Content Marketing: Create multiple pieces of new content each month that support strategic initiatives and key messaging to be repurposed across multiple channels; content combines original, repurposed, and linked content. 

Social Media: Design, create, post, and monitor all social media for the school (Facebook & Instagram); maintain and execute a social media content calendar; track performance.

Weekly eNews/Email Communications: Compile and publish weekly e-bulletin and email communications for varied audiences (students, parents/guardians, alums); write and edit announcements and news items; weekly update of the digital message board.

Videography & Photography: Attend school events (school-wide, grade-level, classroom level) and capture with photos and video; use assets to support internal and external communications; create in-house video content.

Marketing Automation: Optimizing touchpoints with prospective families in the pipeline by creating and managing emails for prospect nurturing.

Website: Assist in updating and managing content on the school website and portal.

Whitby is seeking an experienced special educator to lead our student support team. SAIL (Student Assistance in Learning) provides Whitby students with support services so that they can access and thrive in our accelerated curriculum. Working directly with students in several grades and overseeing other SAIL teachers, the coordinator must be able to work well with students, parents and teachers to assess student needs, put supports into place and oversee the implementation of those supports.

This position is an excellent opportunity for someone who wants to spend more time working with people and less time fulfilling compliance and completing paperwork. As an independent school, we have great flexibility in meeting the needs of our students, which provides a more enriching experience for everyone involved. 

The successful candidate will be highly collaborative and able to provide student-centered services. Significant experience in a school setting and a master's degree in special education or a related field are preferred.

POSITION: Spanish Teacher- Middle School

REPORTS TO: Head of the Whitby Middle School

START DATE: 2024-25 School Year

SUMMARY OF POSITION:

Whitby seeks an experienced, innovative Spanish teacher to join our middle school team of passionate educators in grades 5-8. We strive to provide excellence in Spanish language acquisition, as well as literature and culture instruction to students with a range of experiences, abilities, and passions.

At Whitby, students are active participants who drive the learning process through inquiry and reflection. In order to help students engage to their fullest potential, the Spanish department employs a holistic approach, committed to helping all students discover not only the skills, concepts and broader ideas surrounding language and literature, but also who they are as learners and as people.

Whitby offers differentiated Spanish instruction to all students from our toddler classes to grade 8. Classes are flexibly grouped at each grade from 5 – 8. Classes focus on improving each student’s ability to comprehend and produce orally and through writing. Ideas presented in Spanish classes are rooted in a deep conceptual framework and placed within larger global contexts to help students make sense of the world around them. Students examine multiple genres and text types through reading and writing. Peer and self-assessment, teacher conferencing, and total immersion are key components of our program.

A willingness to collaborate with colleagues, a love of middle school, and a passion for Spanish language and Hispanic culture are a must.

REQUIREMENTS:

  • Holds a Bachelor’s degree in elementary/secondary education, Spanish, or a related field
  • Native or fully bilingual Spanish speaker
  • Has a minimum of two+ years of experience teaching
  • While not essential, IB MYP experience would be a plus
  • Willingness to engage in IB MYP training and professional development
  • Satisfactory completion of pre-employment background check
